Job Opening: Publishing Assistant & Digital Content Coordinator

Job purpose:

The Publishing Assistant & Digital Content Coordinator is a unique position which requires someone with the ability to perform diverse tasks with the shared goal of supporting, creating, and promoting content to our community of nurses, healthcare professionals, and care-givers.

Primary duties include:

  • Helps the smooth and efficient operation of the daily operations of a portfolio of 20 peer reviewed journals and ensure timely publication. This role works with the editorial and production team in the journal division and supports authors in all aspects of the print and digital publishing process from submission to publication in both print and online. Coordinates interaction between authors and staff through all phases of publication.
  • Helps create, test, schedule, send, and analyze various email campaigns and newsletters for the journals department. This role reports to the Executive Editor, Journals and will work directly with editors, authors and necessary internal staff. Work with Marketing Department to determine existing appropriate recipient lists as well as gather information on target audience.
  • Responsible for prioritization and completion of assigned projects from Executive Editor, Journals.
  • Supports journals staff as needed, including additional ad hoc responsibilities.

Duties and responsibilities:

Editorial and Production, Journals

The Publishing Assistant & Digital Content Coordinator’s primary responsibilities will be:

  • Coordinate the editorial workflow of 20 journals using the Editorial Manager online system and assist journal editors-in-chief, editorial board members, peer reviewers, and authors with manuscript trafficking; including the ability to proxy for editors and editorial board members, when necessary, to aid the workflow of manuscripts under peer review.
  • Assist with training new editors, authors, and peer reviewers in the use of Editorial Manager.
  • Compile issue tables of contents, author contact information, copyright transfer documentation, reprint permission letters, and other essential documentation required for production.
  • Responsible for monitoring editorial and production schedules and transmitting manuscripts to production in a timely fashion to meet deadlines.
  • Liaison with society partners for mailing lists and advertising collaterals.
  • Perform periodic review of SPC journal web pages and dedicated journal web sites for missing and broken links, outdated information, and routine content updates (e.g., editorial board updates, revisions in author guidelines, descriptive copy, pricing etc.).
  • Attend regularly scheduled departmental meetings.

Digital Content Coordination

  • Work with writer(s) of daily news article for, including Nurse of the Week feature every Wednesdays. Includes staying up to date on nursing and healthcare industry news and suggesting topic ideas to writer(s) for posting to DailyNurse.
  • Schedule daily social media postings on Facebook and Twitter for DailyNurse, MinorityNurse, and journals program using Hootsuite and manage related advertising budgets for social media
  • Liaison with editorial partners to schedule and produce content, including podcasts, videos, and blog posts
  • Coordinate day-to-day content uploading within a WordPress content management system
  • Edit and proofread a variety of content types for the websites and emails, ensuring it meets style, tone and marketing message requirements, as well as reflecting the company brand
  • Intimately understand corporate priorities and how they connect to nursing and healthcare news and developments


  • Experience working within academic/STEM publishing environment a plus
  • Excellent overall computer skills needed
  • Proficient in WordPress CMS
  • Knowledgeable in social media marketing and management tools, including Hootsuite, Facebook Ads and Twitter Ads
  • Understanding of database, publishing-related software applications, and HTML helpful
  • Comprehension of the editorial and peer review process and administration and experience with using Editorial Manager or similar
  • Detail-oriented, extremely organized, superior project management skills, with advanced writing and oral communication skills
  • Demonstrated ability to handle multiple projects at once, meet deadlines, and effective time management
  • Self-motivated, hard-worker, and effective team-player and resourceful enough to work independently

Physical requirements:

This position may require some travel of about 10%; able to drive and fly to destinations as required
