Job purpose:

Assistant Editor ensures the smooth and efficient operation of the editorial/acquisitions department working directly with editors, authors and all internal staff as needed. Supports Publisher, Director of Digital Content, and authors in all aspects of the print and digital publishing process from proposal to bound books or digital product launch. Coordinates prioritization and completion of assigned projects from Publisher and Director of Digital Content and coordinates interaction between authors and staff through all phases of publication. Supports editorial staff as needed and serves as a key interdepartmental contact.

Duties and responsibilities:

  • Initiate and maintain improvements to editorial work flow systems.
  • Assist with evaluation of production- or digital-readiness for new manuscripts: this involves accurate and thorough completion of the prelaunch and launch forms; evaluate logs and/or manuscripts for missing materials and procure missing art/tables/etc. for inclusion in the final manuscript; ensure proper file naming for delivery to production or digital; tracking of manuscript content features/authoring template application to ensure consistency of content; creation of final and accurate front matters as applicable for launched book including an accurate Table of Contents and Copyright page; request and evaluate product description copy to ensure these reflect the actual product content.
  • Monitor delivery of ancillary manuscripts for timeliness to ensure publication of all ancillaries with primary text products. Assess ancillary manuscripts for required elements and appropriate content.
  • Ensure updated and accurate biweekly publishing plans, digital product launch schedules, and new project proposals, track projects and monitor delivery commitments/schedules, follow-up with authors and editors regularly or as necessary to ensure timely completion. Ensure Acumen (and therefore applicable reports) is updated immediately upon learning of changes.
  • Once a contract is signed, send out the Author Guidelines/Contributor Packets, Author Questionnaires, correspond with authors/answer questions regarding manuscript preparation, permissions questions, and proper manuscript submission details per the Author Guidelines.
  • Working with the Acquisitions Editor, conduct follow-up with authors in a timely manner to ensure on-time delivery of manuscript and to address any problems or questions. If a project deviates from contractual “specifications,” alert the Acquisitions Editor and prepare a memo advising of areas of deviation (e.g., ms length, number of illustrations, heavy references, use of 2nd or 4 colors, different content features) and draft a new P&L for the AE’s review using Production and Manufacturing formulas.
  • Work with Production to utilize the Manuscript Submission Tracking Tool as appropriate.
  • Review and evaluate all manuscript materials as they are submitted and monitor for compliance to the project’s authoring template or revision requirements; Author Guidelines requirements; project length against contractual requirement; delivery of Contributor Agreements for multi-contributed products. Ensure that contributor email address lists go to discipline-assigned Marketing Manager to incorporate into mailing list.
  • Prepare, record, and route approved contracts for newly acquired products and ensure timely processing/receipt internally and externally.
  • Maintain accuracy, integrity and currency of all departmental publishing plans, records and databases.
  • Solicit and compile endorsements for product description (e.g., back cover copy, app description, etc.) and promotional material, working within the published production and marketing schedules.
  • Administrate shipments of newly published books to authors/editors, contributors, and endorsers and the Library of Congress. Send and/or arrange for complimentary e-chapters to contributors.
  • Administrate payment logs and invoices for contributor honoraria payments promptly upon publication or product launch; monitor total payments requested to ensure payout does not exceed amount of contract Advance designated for this purpose.
  • Attend annual professional conferences per year, which may involve overnight travel.
  • Assist with managing workflow and training of intern.
  • Solicit peer reviews of product proposals and draft manuscripts, as directed by Publisher and Director of Digital Content. Assemble reviews into summary report.
  • As assigned, acquire and manage selected revised editions of backlist titles, from reviewing Amazon reviews, sales histories, working with authors to develop revision plans, through contract, manuscript development, and publication.
  • As assigned, manage the editorial process of selected contracted manuscripts, assuming all author communications from contract to publication.
  • Assist Director of Digital Content with quality assurance tasks, including the review of content presentation and user functionality of apps or other digital products.
  • Assist Publisher and Director of Digital Content with market research tasks, such as survey administration, market data collection, and focus group support as assigned.

Qualifications:

  • Two years publishing experience; experience working with test prep content a plus.
  • BA required / MA in arts or humanities preferred.
  • Detail-oriented, extremely organized, superior project management skills, with advanced writing and oral communication skills.
  • Demonstrated ability to handle multiple projects at once, meet deadlines, and effective time management.
  • Self-motivated, hard-worker, and effective team-player and resourceful enough to work independently.
  • Excellent computer skills needed.

Physical requirements:

This position may require some travel of about 10%; able to drive and fly to destinations as required.
